Job Responsibilities:

  • Responsible for introductory/welcome call to new customers before install
  • Schedule and coordinate database/kickoff/internal meetings
  • Be responsible for gathering information for each install
  • Be the point person for the customer for each project
  • Assist Project Manager with verifying delivery of equipment for upcoming jobs
  • Stay in communication with the salesperson to keep them updated on job progress
  • Coordinate with outside vendors to ensure a successful deployment
  • Set up collection of payment based on agreement in the Purchase Proposal
  • Perform DETAILED training on LIVE equipment with documentation and schedule follow up training if needed
  • Assist Project Manager with implementation at time of cutover
  • Work with Project Manager to schedule Admin or any Administration type training
  • Present customers with escalation list and contact info at project completion
  • Coordinate final payments based on contract after implementation
  • Update jobs on departmental calendar as jobs progress
  • Monitor accounts receivables and contact/schedule follow-up for collection of final payments
  • Responsible for posting jobs in Great Plains and making sure monies are right
  • Constant follow up and communication on all jobs with customers, to assure timely handling of issues

Qualifications:

  • Ability to coordinate and works well in a team environment
  • Self-starter with strong organizational and prioritization skills
  • Strong customer service and relationship building skills
  • Proficient in MS Word/Excel/Outlook
  • Great Plains or similar software experience is a plus
  • Detailed understanding of the Avaya or ShoreTel products a plus
  • Excellent communication skills, both oral and written
  • Excellent presentation skills

Education & Experience:

  • 2-3 years of experience as an administrative assistant in a project environment
  • Bachelor’s Degree is a plus
  • Ability to coordinate and work well in a team environment
  • Self-starter with strong organizational/prioritization skills
  • Customer service and relationship building skills
  • Proficient in MS Word/Excel/Outlook
  • Great Plains or similar software experience
  • Excellent communication skills, both oral and written
  • Excellent presentation skills
  • Avaya Certification a plus
